If your access is limited to certain sites, you only see requests from those sites.
Admins set roles and permissions in Manage team > Roles and permissions.
Use the Schedule requests page to review and respond to the changes your team asks for: schedule changes, shift swaps, and extra work or voluntary time off. You can filter requests, check exactly what each one changes, and approve or deny them one at a time or in bulk. Time off requests have their own page; see Time off requests.
To open it, go to Schedule > Schedule requests.
How schedule requests work
Each request appears with who submitted it, the dates affected, the requested changes, any broken schedule rules, and its status. Agents create requests from My Assembled; each kind is set up separately.
| Request type | What the agent asked for | Set up in |
|---|---|---|
| Future change | A change to an upcoming part of their schedule | Schedule change requests |
| Schedule change | A revision to a past part of their schedule, to record what they actually did | Schedule change requests |
| Shift swap | To trade a shift with a colleague | Shift swaps |
| Extra work | An extra work or voluntary time off slot | Extra work and voluntary time off slots |
A request’s status tells you whether it can still be acted on:
| Status | What it means |
|---|---|
| Pending | Waiting for a decision. |
| Approved | Approved, and the changes are on the schedule. |
| Denied | Denied. The schedule isn’t changed. |
| Canceled | Canceled by the requester. It can’t be approved or denied. |
| Expired | Not acted on before the time it would have changed. You can still approve or deny it for your records. |
| Invalid | The schedule changed after the request was made, so it can’t be approved or denied. The agent can make a new request. |
Find requests
- Request type: show one kind of request. This filter appears when you can see more than one kind.
- Status: show requests in one status, such as Pending.
- Date range and Date range type: choose whether the dates match when requests were submitted (Date submitted) or the dates they change (Dates affected).
- Search people…: find one person’s requests.
To let a team lead see only their own team’s requests, see Restricted sites for team leads
Approve or deny a request
- Find the request. To check exactly what it changes before you decide, select View changes.
- Select the check mark icon to approve it, or the deny icon (a circle with a line through it) to deny it.
- If you’re denying it, optionally enter a reason under Would you like to add a reason for denial?, then select Deny request. The requester sees your note.
When you approve a request, its changes are applied to the schedule straight away. Either way, the requester gets an email with your decision. Shift swaps need two approvals: see Shift swaps.
Approve or deny several requests
- Select the requests you want to act on.
- Select Bulk actions, then Approve or Deny.
Only requests you’re allowed to act on, and that are still pending or expired, are included.
