Hi! This guide walks you through Templates, a powerful feature that saves you time when creating recurring schedules.
Templates allow you to save a representative week of your team's schedule into a Template, make edits to any schedule events from within the Template (for instance, replacing PTO dates w/ standard shifts), and apply the Template to future weeks.
What's a template?
A Template represents a set of schedule events for a representative week that exists outside of your actual team schedule. In other words, if you make any changes to a Template it will not affect your actual team schedule until the Template is applied.
How do I create a Template?
To create a Template, first navigate to the Staffing page: https://app.assembledhq.com/staffing
Once there, select a week that closely matches a representative schedule for your team. Then, select "Save Template" from the Template's menu:
Once you select "Save Template", you will be prompted to define a few Template attributes.
Title and Description: Pick any title or description you want.
Interval: Define the the length of time represented within a Template.
Date Range: Define which specific week's schedule events you want to save into the Template.
Events to Save: Specify whether you want to save the schedule events for all agents in Assembled into this Template, or if you want to save the schedule events for a subset of agents within a specific Channel, Queue, Site and/or Team.
Note: These settings should usually match the set of channel/queue/site/team filters that you have already selected on the Staffing page.
How do I edit a Template?
To edit a template, select "Edit Template" from the Template's menu:
Once there, select the Template that you want to edit:
Once you've selected a Template, you are now in Assembled's Template editor, which allows you to change the schedule events of a Template without affecting your base schedule.,
A few tips on our Template editor — as well as our Staffing page:
- You can redo (ctrl + y), undo (ctrl + z) and save changes to a Template. Note: All Template changes require you to explicitly save changes.
- You can copy paste an agent's Template schedule to another agent:
- You can bulk edit the event types or bulk delete multiple events
Once you're happy with a Template, hit Save Changes and you're all set.
How do I apply a Template?
When you're ready to apply the Template, start by selecting "Apply Template" from the Template's menu:
Once you select "Apply Template", you'll have a few things to decide:
Template: Select the Template you want to apply.
Repeats: Define how many times you want the Template to repeat into the future.
Start Date Range: Define the starting week for applying the Template
End Date Range (if necessary): Define the ending week for applying the Template.
Ok, here's where it gets a bit tricky. You have three options for how you want to apply a Template.
Replace Previous Template (Recommended)
This option applies the Template, but leaves any schedule events from the Template time period that were manually modified by and Administrator, Manager or Agent. You should likely use this option if anyone is manually adjusting schedules from within Assembled.
Note: You will likely have conflicting events that remain, because you will have manually modified events in the future that conflict with schedule events that are created from the Template.
Replace All Events
This option deletes all future events during the Template time period, and replaces with the schedule events from the Template.
This option applies the schedule events from the Template, while leaving any existing schedule events from existing schedule.
