What is a shift swap?
A shift swap lets you trade one of your shifts for someone else's. You’ll work your coworker's shift, and they’ll work yours.
You can only trade a full shift for another full shift.
Who can I swap with?
In general, you can swap shifts with someone who:
- Is currently on the schedule
- Is able to work the type of shift you’re swapping
- Is available on the day you want them to cover
- Has an available shift to swap
Depending on how your company has set up your shift swaps, there may be other conditions.
For example, you might need to swap with someone in your site or country, or there might be rules about when you can submit shift swap requests. Check out your company’s policies on shift swaps for the details.
How do I start a new shift swap?
To get started, head over to your schedule by selecting My Assembled.
Then, follow these quick steps:
- Select the Request shift swap button in the upper right corner.
- Choose the person who needs to approve your request. This is usually your manager or team lead, but could be a scheduler.
- Select the date of the shift you'd like to swap.
- Choose what dates you can work instead. If you're having trouble finding a trade, select Find matching shifts to find the best options.
- Select the shift you want to swap for.
- Select Submit shift swap. You're done! Now it's time to wait for approval.
What happens after I submit my request?
After you submit your request:
- First, the request will be sent to the person you’re swapping with. They’ll get a notification and be asked to accept or decline the shift swap.
- Once the other team member accepts, the request will be sent for final approval by the person who manages your schedules.
- When the shift swap has been approved by everyone, your new shift will appear on your schedule in Assembled. Your old shift will disappear from your schedule, and your team member will find it on their schedule instead.
How will I know if my shift swap is approved?
When your shift swap is approved, you’ll receive an email letting you know.
Assembled will also show your new schedule as soon as everyone approves. Depending on your company’s settings, you may get a notification that your schedule has been updated.
If your shift swap was declined by any one of the reviewers, you’ll get an email notification letting you know. In this case, nothing will change on your schedule.
I made a mistake — can I change my shift swap?
If your request hasn’t been approved yet, you can still cancel it and submit a new one.
To cancel your shift swap:
- Open the Schedule requests page in Assembled.
- Your pending request should show up here when you open the page. If you don’t find it right away, you may need to update the filters and dates on this screen.
- On the request you want to edit, select the three-dot icon [•••] to open the menu.
- Select Cancel. The request will be canceled right away and can no longer be approved.
To create a new request, follow these instructions.
