Creating and modifying schedules

Admin, Manager, or Team Lead role
Create and change events
Admin, Manager, or Team Lead role
Or a custom role with Edit schedules set to Can edit all agents' schedules or Can edit schedules with custom permissions

Roles with custom edit permissions may only be able to use certain event types.

Admins set roles and permissions in Manage team > Roles and permissions.

Use the Staffing timeline to build your team’s schedule event by event, and to adjust it at scale: select many events at once, copy a day or a whole row to other agents, or change the type of several events in one step.

To start, go to Schedule > Staffing timeline and choose the schedule you want to change in the Schedule filter.

How editing works

  • Changes aren’t saved until you select Save, which shows how many changes you’ve made, such as Save 3 changes. You can also press ⌘/Ctrl + S.
  • Undo and Redo, next to Save, step back and forward through your unsaved changes. You can also press ⌘/Ctrl + Z and ⌘/Ctrl + Shift + Z.
  • If you try to leave the page with unsaved changes, Assembled asks first.
  • If you view more than 7 days with more than 10 agents, the schedule is locked for editing. Filter to 10 or fewer agents to edit across a longer range.
  • Events sit in layers: productive time at the bottom, then events such as breaks and meetings, then time off. Moving or deleting an event in a higher layer shows the events underneath.

Add an event

  1. Drag across an empty part of an agent’s row, from the start time to the end time. Add a new event opens.
  2. Choose the event type. To change the length, adjust the start and end times, or choose All day event or Full shift event.
  3. Optional: enter a description.
  4. Select Add event.

The event appears on the schedule, highlighted until you save. From Add a new event, you can also select Add recurring to turn the event into a recurring event, or Add people to add it for several agents at once.

Add or edit a full day for one agent

To add or change all of an agent’s events for one day in a single form, right-click an empty cell in their row and select Add / edit events…. On a Mac, you can also Cmd + click the cell.

You can move between fields with Tab and type times in short formats: for example, 9a for 9:00 AM, or 17 for 5:00 PM. Press ⌘ + Enter to submit.

Use a default event type

If you’re adding many events of the same type, choose it in Default event type in the filter bar. While it’s set, dragging across a row or selecting an empty cell adds an event of that type straight away, without opening Add a new event. To go back to choosing a type each time, clear Default event type.

Add an event for multiple agents

To schedule the same event, such as a team meeting, for several people:

  1. Create the event for one agent, as in Add an event.
  2. Right-click the event and select Add multiple agents. You can also select Add people in Add a new event before you add it.
  3. In the form that opens, choose the agents to add the event for.
  4. Select Save.

To copy a selection of events to several people, select the events, right-click an empty cell, and select Copy to multiple people.

Select and change several events

Select events

  • Select by dragging: hold Shift and drag across the events.
  • Add events to a selection: hold Shift or, on a Mac, Cmd and select each event. The events don’t need to be next to each other.

Select all events of one type

Right-click an event and select Select all events of type.

The Actions menu for an event, with the Select all events of type option

You can also right-click an empty cell and choose a type under Select all events to select it in that agent’s row, or under For all agents to select it for everyone shown.

Move, change, or delete a selection

  • Move it: press the Left or Right arrow to move it by 5 minutes, or Shift + arrow to move it by 15 minutes. You can also drag it.
  • Change its type: right-click and choose the new type in Update type.
  • Delete it: press Delete or Backspace, or right-click and select Delete.

Copy and paste events

You can copy one event, a day, or a whole row:

  • One event: right-click it and select Copy.
  • Several events in a row: select them, then right-click and select Copy, or press ⌘/Ctrl + C.
  • A whole day (Week view): right-click an event and select Copy day.
  • A whole row: select the agent’s name, then Copy row.

To paste, right-click where you want the events and select Paste, or press ⌘/Ctrl + V at the pointer. Pasted events start at the cell you paste into and keep their position within it. For example, if you copy an event that starts at 12:30 PM and paste it in the 3:00 PM cell of another agent’s row, it starts at 3:30 PM. In Week view, pasting a copied day keeps its times: a day that starts at 8:00 AM on Monday starts at 8:00 AM on whichever day you paste it to.

To paste events at exactly the times they were copied from, select the agent’s name and then Paste row. A row copied with events at 4:00 AM and 2:00 PM pastes at 4:00 AM and 2:00 PM. In Week view, Paste row also keeps the days, so Monday’s events are pasted to Monday.

Use paste mode

When you copy events, you enter paste mode: you can select anywhere on the schedule to paste the copied events.

  • To leave paste mode: right-click anywhere, or press Esc.
  • To go back into paste mode: if your copied events are still on the clipboard, right-click and select Enter paste mode.
  • To clear what you copied: right-click and select Clear clipboard.

Save or undo your changes

Important: Leaving the page or switching schedules before you save discards your changes.

  1. Review your changes. New events are highlighted until they’re saved.
  2. Select Save (for example, Save 3 changes), or press ⌘/Ctrl + S.

If someone else changed the same agent’s schedule while you were editing, you may see a warning instead. See Outdated schedule changes. To undo changes after you’ve saved them, use Scheduling history.
