Assembled’s roles and permissions settings allow you to control who can view, edit, and manage various features. By configuring roles and permissions, you can ensure that each team member has access to the tools and information they need—while also protecting sensitive data and critical functions.

Out of the box role definitions
There are five default roles in every Assembled instance. Those roles are Administrator, Manager, Team Lead, Standard, and Basic.
Admin: Typically the role used for an administrator, who can manage integrations, configure account settings, and manage company-wide settings
Manager: Typically the role used for a manager, who can manage time off, add users, view all reports, and manage the schedules.
Team Lead: Typically the role used for a lead, who can view staffing timelines and make edits to schedules
Standard: Typically the role used for an agent, who primarily views their own schedule or the team schedule
Basic: Typically the role used for a vendor agent, who primarily only needs to view their own schedule
Out of the box role permissions
Note: The charts above assume that Admin and Manager are Not Staffable. This impacts whether a user will have the 'my schedule' view, be scheduled on the staffing timeline, and have an agent scorecard.
Custom roles
For teams with unique needs, our platform offers the flexibility to create custom roles that are built on top of the out of the box roles. In this section, you'll learn how to define specific permissions that tailor access to match your organization’s structure, giving you full control over who can view, modify, and manage various features and resources.

Creating a new role
Only admins can create new custom roles.
- Navigate to Company Settings > Roles and permissions.
- Click
Add custom role
- You’ll be prompted to select one of the base roles as a starting point for your new role and click Next. This step is important because certain permissions cannot yet be edited after the role has been created — these permissions will be based on the default role permissions described above.
- Name your new role, add a description and Create role.

Your new role as now been created. You can now edit your new role with the available customizations.
- Click save in the bottom right for changes to take effect. Allow a few moments for updates to reflect in user accounts.
Editing or deleting an existing role
Only admins can edit/delete roles. Note: the out of the box Admin role is not editable.
- Navigate to Company Settings > Roles and permissions.
- Open the editor by clicking on one of the roles.
- Click Edit overview to edit the name or description.
- Edit the name or description and click Save.
- Click Delete to delete a role.
- Click Delete role to confirm.
Granular customizations
This section covers how to fine-tune permissions, such as setting edit access by event type and selecting data visibility for particular reports, ensuring that each role has precisely the access it requires.
Restricting reports by filters
You have the option to restrict reports by either team or queue filters. To do so:
- Navigate to Company Settings > Roles and permissions.
- Open the editor by clicking on your desired role.
- Click on the Reports tab and Restrict reports data access
- Restrict access by queues: reports will only be filterable by the queues in the user's profile
- Restrict access by teams: reports will only be filterable by the teams in the user's profileClick save in the bottom right for changes to take effect. Allow a few moments for updates to reflect in user accounts.
Assigning roles
Navigate to People page to assign users to base or custom roles. For instructions on editing users check out this article's section Editing users.You will now see your custom role under the Role dropdown.
