Coaching events help you build regular one-on-one time into an associate's schedule. If a coaching event you've set up isn't appearing after you run Schedule Assistant, the cause is usually how the event type is configured rather than the coaching event itself. This article walks through what to check and how to fix the most common cause.
How do I check that my coaching event is set up correctly?
Before troubleshooting further, confirm the basics:
- The coaching event type exists and is turned on in your event types list.
- The associate has working hours assigned. Events can only be placed within an associate's assigned working hours.
- If you're using scheduling rules, the coaching event rule is assigned to the right people or groups and is active for the date range you're working with.
- If you're using Schedule Assistant to generate the event, the event rule isn't conflicting with any other rules.
Why doesn't Schedule Assistant generate my coaching event?
If the checks above look correct and the event still isn't generated, the event type is likely missing the channel and queue mappings that Schedule Assistant needs in order to place it. Schedule Assistant only generates events for the channels and queues an event type is mapped to.
Important: If an event type doesn't have channel and queue mappings, Schedule Assistant won't generate events for it, even when the event type is enabled and the scheduling rule looks correct.
To add the missing mappings:
- Go to Settings > Event Types.
- Select the coaching event type you're using (for example, DEV | Coaching).
- Add the channel(s) and queue(s) for the associates who should receive coaching.
- Select Save.
- Rerun Schedule Assistant for the affected associates and date range.
Note: Use the same channels and queues assigned to those associates' regular work. If you're not sure which to select, check the associate's existing channel and queue configuration and match it there.
How do I manually add a coaching event?
If you need to place a coaching event right away, you don't have to wait for Schedule Assistant.
- Drag the event directly onto the staffing timeline.
- Use the multiple events modal for more precise control when adding the event to several associates at once.
