Need a day off? Use our new time off planner to check out which days approve instantly, which need a manager's review, and which aren't available — before you request.
This feature is currently in early access. If you don't see it, don't worry. It will be available for more people soon!
How do I request time off?
- First, select Time off in the main navigation to open the new planner page.
- Next, open the Type menu and choose what kind of time off you need. You might notice changes in the calendar for each type — depending on your company's policies, different options might be available for different days.
- Use the calendar to check availability. Some days can be approved instantly, some must be reviewed for approval, and you'll likely see some days that aren't available at all. What shows up here is determined by your company's policies.
- Select a single day, shift, or event by clicking on it. To select a range of days or times, click and drag.
- In the request panel, you'll see a summary of your request and be able to make any additional changes. When you're ready, select Submit.
What do the colors and icons mean?
They can help you quickly check whether time off is available — and how it will be reviewed.
Depending on your company settings, you might see any combination of these options:
- Instant approval: These days will be approved automatically and don't require a manager to review.
- Manual approval: These days need someone to approve or deny, but they're otherwise following all your company policies.
- Unavailable: Time that's marked unavailable can't be requested at all. These are days when your company policies don't allow time off, or there are too many people out at the same time.
- Not scheduled: These are time blocks outside your normal shift pattern. You can still request them, and we'll add time off to your schedule if they're approved.
- Pending: If you see this label, you already have a request in progress. You can usually cancel it, change it, or request more time on the same day if you need to.
- Approved: These are days and times when you're already off. You can cancel them by opening the approved request and then selecting Cancel request.
- Waitlist: This means there are too many people out already. If you still want the day off, you can add your name to the waitlist. We'll track your place in line and let you know if it's your turn!
What happens after I submit my request?
It will appear on the time off calendar and in your active requests list right away. What happens next depends on your company policies:
- If your company has set up auto-approval, your request might be marked as Approved immediately.
- If the request can't be auto-approved, it will be Pending. Your schedulers or managers will be able to approve, deny, or edit as normal. When that happens, it will update here.
- You can select any request to cancel or change it.
Can I request a day when I'm not scheduled to work?
Yes. Days and times you don't normally work will show up on the planner as Not scheduled. You can still request them, as normal.
Once approved, the requested time is blocked on your schedule and doesn't count toward your time off usage.
