The recurring events feature enables you to easily create events that have recurrence patterns and multiple participants. Instead of adding each event instance individually, you can add one event that repeats at custom frequencies—such as every Monday, or every first Friday of the month—and apply it to many people at once.
Create a recurring event
To create a recurring event, navigate to the Staffing Timeline. From there, there are two ways to create a recurring event:
- Click directly on the staffing timeline to create a new event. When the Add a new event dialog appears, click Make event recurring.
- Click the Add recurring event button on the toolbar.
A popup dialog will appear in which you can specify the recurring event details:
This form includes:
- Event type for this recurring event
- Description for the event (optional)
- The ability to select participants for this event. This recurring event will appear on all participants' schedules.
- Start time, end time, and time zone of the recurring event
- Repeating cadence that can be configured for custom daily, weekly, or monthly recurrences
- Date range to specify the time window in which the recurring event should occur on schedules
- Event conflict options:
- Keep manually-edited events (the default selection). Manually-edited events include events such as time-off events, Google-Calendar-synced events, and any other events that have been manually added to the timeline. The recurring events will be applied around these events, and the manually-edited events will remain unmodified.
- Allow conflicts will leave conflicts where multiple events overlap. These event conflicts can be resolved on the staffing timeline.
Once you have inputted the recurring event details, click Save to schedule to immediately publish the recurring event to the live schedule.
Edit a recurring event
There are several ways to edit recurring events:
Make global changes
To make global changes to a recurring event, click the Edit recurring event details... button on the recurring event details popup:
This will open up a form that enables you to modify the recurring event:
Once you're done making changes to the recurring event details, click Save changes to immediately publish your changes to the live schedule. This will replace old instances of the recurring event with the new, updated instances.
Make minor changes
If you'd only like to make changes to the recurring event's start time or end time, you can update those fields in the event details popup and click the Update event... button.
This will open the following dialog:
In this dialog, you can choose if you want to modify this particular event instance or all future instances of this recurring event. The Event conflicts options function the same way as the conflict options when you're creating a new recurring event.
Click Save changes to immediately publish your changes to the live schedule.
Make changes to just one event instance
If you'd like to edit a single event instance for a single agent, you can click and drag the event directly on the staffing timeline. This will not affect other instances of the recurring event.
Delete a recurring event
To delete a recurring event, click the Delete button on the event details menu:
This will open a dialog with the following options:
Here, you can specify if you'd like to delete just this event instance, or all future instances—and for just this particular agent, or for all participants of the recurring event.
