Workday's time off API doesn't send a start or end time for partial day requests, only a date and a number of hours. Because of this, partial day requests need a manual step in Assembled before they appear on an agent's schedule. This article explains why that happens, how to approve a pending request, and how to fix one that's already synced.

Why do partial day requests show up as pending?
Workday's time off API (both RaaS and REST) sends a date, a time off type, and a quantity, such as "3 hours" on a given date. It doesn't send a specific start or end time. This is a limitation of Workday's API, not something Assembled controls.
Without a start and end time, Assembled can't automatically place the request on the agent's schedule, since it doesn't know which part of the day the agent is taking off. Rather than silently placing it in the wrong spot, Assembled holds the request as Pending until a manager adds the missing start time.
How do I approve a pending partial day request?
- Go to Schedule > Time off.
- Select the pending request.
- Enter the intended start time in the Start time field. Assembled calculates the end time from the requested hours.
- Select Approve.
Once you approve the request, it appears on the agent's schedule.
Note: a common pattern is for the agent to leave their intended start time as a comment in Workday. The manager can then copy that time into Assembled when approving.
Important: manually entered start times are currently stored in UTC instead of being converted to your team's time zone, which shifts the time on the schedule. As a workaround, add your team's UTC offset to the intended local time when entering it. For example, if an agent wants to start time off at 8:00 am Central time (UTC-5), enter 1:00 pm in the start time field.
Will a future sync overwrite the start time I add?
No. Once you add a start time and approve the request, Assembled protects that manually entered data. Later syncs from Workday won't overwrite it.
How do I fix a partial day request that's already synced?
Once a partial day request has synced into Assembled, you can't edit its start or end time directly. To correct it:
- Cancel the original request in Workday. This automatically removes it from the agent's schedule in Assembled.
- Resubmit the request in Workday with the correct details.
- Once it syncs back into Assembled as a pending request, add the corrected start time and approve it.
Keep in mind: if the date has already passed, check with your Workday admin to confirm whether retroactive cancellations are possible on your end.
