Early access: Two-way Workday integration

We've expanded our Workday integration to support bidirectional syncs and send your time off balances to Assembled.

Workday remains the system of record for employee time-off records, but requests can now also be submitted through Assembled, reviewed for their effect on actual staffing metrics, and even auto-approved if they follow your time off rules.

How does the integration work?

• Your team can submit their time-off requests in Workday or Assembled, depending on your company’s preferred system.
• Requests submitted in Workday will follow your existing business process. This time off will write to Assembled, using the event mapping you define in the setup flow.
• Requests submitted in Assembled will be evaluated against your staffing settings and time off rules. If you’ve opted in, the request can also be auto-approved in Assembled to save time.
• If you turn on balance syncing, we will also read time off balances from Workday and display those in Assembled so agents can reference them when submitting a request. If a request is approved in Assembled, we will send that information to Workday.
• When someone approves, denies, cancels, or edits a request in either Assembled or Workday, both systems will will stay in sync.

How do I set up the integration with Workday?

Good to know: This setup requires knowledge of Workday's integration systems. We recommend that you sign in to Workday as an admin before you get started.

To set up your integration, visit the Third-party integrations page in Assembled and follow these steps:

Step 1: Add Workday credentials

1. Locate the Workday integration card and select Configure integration.
2. First, enter your integration system user credentials from Workday. You may need to create this user in Workday if you haven't already. We use this data to link our integration to Workday's system.
3. Next, add your data sources from Workday. These are RaaS (Reporting-as-a-Service) URLs that Workday uses to share new information about time off and leaves with us. You must include a URL for your company's employee map and time off report, but you can choose to skip leave of absence reporting if that's not relevant for you. 
4. Select Continue to move on to the next step.

Step 2: Customize your settings 

1. On the next screen, choose whether you want agents to request time off in just Assembled, just Workday, or either platform. This will help us decide what additional data we'll need to complete the integration.
2. Next, fill out the details of your Workday REST API. We'll ask for credentials and tokens that will let us understand how your time off data appears in Workday — and (if you give Assembled permission) write time off events into your Workday system. 
3. Select Continue when you're ready to move to the last step.

Step 3: Map your events

1. Finally, we'll ask you to map event types between the two platforms. 
2. If you're concerned about agent privacy or sensitive event codes coming from Workday, you might want to map all your Workday time off events to 1-2 neutral time off types in Assembled. If you choose to leave the mapping blank, we'll match automatically based on the name of the event type.
3. When you're ready, select Connect. Syncing will start automatically within the next 15 minutes.

How often do events sync between Assembled and Workday?

We check Workday's updates every 15 minutes, so updates from Workday can take a few minutes to appear. If we're sending info from Assembled into Workday, that should happen almost immediately.

What do I control?

You decide how this integration will work for you. When you set it up, you'll fully control:

• The direction and scope of the sync
• Your Workday business processes for approving requests once they're sent from Assembled
• How events map between the two platforms
• The Reporting as a Service (RaaS) mechanism that we use to access information from Workday — this allows your team to obscure sensitive info in Workday and map it to neutral event types in Assembled, as needed, to protect agent privacy
• Who in your company can set up or update this integration 

What data moves between the platforms?

This integration only reads and writes time-off and absence data, not broad HR records. The fields read from Workday are limited to a worker identifier, work email, and time-off event details (dates, quantity, unit, type, status, optional comment, time zone).

Balances and absence-type catalog entries carry plan IDs, remaining amounts, and category or unit metadata. 

When writing back, only the worker ID, dates, daily quantity, time-off type, optional start and end time, and comment are sent. No other sensitive attributes are read or written.

What data do we store in Assembled?

We store time-off and absence data (dates, quantities, types, statuses, optional comments, a worker identifier, and work email), plus balances and the absence-type mapping you define. 

We do not read, write, or store any pay, performance, or other sensitive HR data.

Can Assembled write to Workday without permission?

No. Writeback is off by default, must be explicitly enabled, requires OAuth + REST configuration, and requires admin-level integration edit permissions to activate. If you decide to deactivate this integration, we will stop syncing any data between the two platforms right away.
